I would like some feedback as to how long a verbal or disciplinary letter stays in someone's file.
It seems to be all over the map and am hoping to come up with a better idea after getting some feedback.

From my experience in fire and EMS the typical times are
Minor infraction such as sick time "abuse" tardiness poor performance etc is 6months.
Major not including but up to suspension IE fail to report,deriliction(leaving before relieved etc) insubordination,serious public complaint.One year.
Serious infraction that could include suspension or termination such as theft (company) coming to work impaired,serious insobordination/fight etc.Will usually result in a permanent letter on file, subject to review in some cases.

From our Collective Agreement ....
b) i) The Corporation shall withdraw disciplinary records from a member’s file after two (2) years
of discipline free service.
ii) Notwithstanding 3.01 b) i), the Corporation shall withdraw suspension records from a
member’s file after five (5) years of suspension free service.

It would depend entirely on your collective agreement. Some contracts allow for minor infractions to be removed automatically after a period of time, others you need to apply to have removed. For more serious infractions it is doubtful they can ever be removed.
